Work backwards from the date the products must be in your hands, rather than the day the event begins.
Build a realistic timeline
The project includes more than production: artwork review, material selection, sampling, approvals, packing and transport all need time. Confirm a delivery destination and a required arrival date first. Avoid printing a public deadline until the supplier has confirmed the schedule.
Separate audiences
Staff, speakers and visitors may need different products or fits. Map each group to a use case before choosing quantities. Build the size split from actual team information where possible, and agree how any contingency quantities will be handled.
Freeze the specification
Late changes to logos, colours or packaging can affect cost and timing. Use one agreed brief and designate an approver. Keep the approved sample, artwork version, garment measurements and delivery details together so that everyone is working from the same information.
Think beyond distribution
Plan storage, transport to the venue and how items will be handed out. If the product is intended for repeated use, choose a design that still feels relevant after the event. Share the event date, audience, quantity and destination with EOPROMOS to start planning.
