How to write a promotional textile brief that gets a useful quote

Planning

The best brief makes it easy to compare proposals and reduces avoidable questions during development.

Describe the job

Explain who will use the product, where and how often. Add the target date, delivery country and approximate budget if available. A practical use case helps a supplier suggest suitable materials rather than simply offering the cheapest familiar item.

Define the specification

List product type, quantity and size split. Include fibre preferences, fabric weight where relevant, colours, logo dimensions and placement. Attach usable artwork and say whether custom labels, individual packing or special presentation are required.

Separate requirements from preferences

Mark essential details clearly. If organic and conventional alternatives are acceptable, ask for them against the same specification. If the quantity is still open, provide realistic scenarios so that the quotation can explain the commercial differences.

Agree the next decision

Ask what is included, what remains provisional and which approvals are needed before production. Keep sample costs, delivery arrangements and timing visible in the discussion. Use the EOPROMOS project form to prepare an email brief and start a specific, productive conversation.
